Message taking instructions - Please take a detailed message! It must accurately reflect the constituent's concerns.
- Details really do matter. A message that reads "Against Medicare Cuts" can mean a couple of different things - but a message that says "Constituent is a senior citizen and is worried the Republicans in Congress are going to cut Medicare" is much more helpful.
- When taking a message, keep in mind that it's best for us to know not only what the constituent is concerned about, but also why the constituent concerned about it.
- Record if they mention any bill numbers (e.g. H.R. 3245).

Contact information instructions - Always say: "Thank you for expressing your concerns, we always forward these messages along to the Congressman so he knows the views of his constituents."
- Then ask for the caller's zip code. This lets you see if the person is a constituent or not at the beginning. If the person is clearly not a constituent, just thank them for calling and end the call. Do not bother filling out the form.
- If the caller is likely a constituent, you must then ask for the rest of the contact information required on this form. Sometimes a constituent may not want to give this information to you, but you must always ask for it. Otherwise, we cannot send them a reply and we lose an opportunity to connect with a constituent.

Would the constituent like to sign-up for the Congressman's e-newsletter?: You may want to ask this question of only friendlier callers who aren't in a rush. You can say that the Congressman periodically sends e-newsletters to keep his constituents informed of his work in Congress and back at home in California. |
